How to create a new work order (web)

A work order is defined as a single task, and is used for ongoing tasks. If you want to create a routine, this must be done via the routines page, or from the fire book (for routines that apply to fire). You have the same input fields on work orders and routines, the only difference is where you create them in the system. Both work orders and routines are processed in the same way. See how to process work orders .

Click on "Work order" in the main menu, and then "Create work order". You also have a shortcut to create a new work order if you are on the "Overview" page, or from the Property Structure (Find the object and right-click).

When you create a work order, you will see several tabs at the top. You do not need to fill in information on all of the tabs, but you must fill in the fields marked with a red star.

Below you can read how to fill out each tab.

Generally

  1. You must select the type before you can select the specific object (e.g. a building or a facility). Once you have selected the type, you will see a new drop-down menu to select the object. When you create a work order, you can only select one object, but you can copy the work order to multiple objects later.
     
  2. Fill in the task text.
     
  3. Select contractor(s): under “Responsible contractor” you will find internal users who have been created in LAFT, as well as suppliers. You can use the search field to search for specific users and/or suppliers. For example, search for “Supplier” to bring up all suppliers.
    You can select one or more performers, both internal and suppliers. Suppliers must be created in advance .
    1. Worth noting regarding assignment of work orders/routines to suppliers: If both an internal user and a supplier are set as performers, the internal user will be selected as the main responsible user. If you assign a task to multiple suppliers, and not any internal users, the first supplier you click on will be set as the main responsible user. This can be changed later.
    2. If you want to assign the task to someone who does not yet have user access to LAFT, there is a separate button for quickly creating users: “Invite responsible user+”. If you click here, you can fill in the first name, last name, email, and select the role. When created, the person will only have access to the object they are assigned as the performer on, but access can be easily changed by editing the user afterwards. Read more about it here .
       
  4. “Private task” will make the work order visible only to you as the issuer and the person you assign it to.
     
  5. If you have created checklists for use on work orders/routines, select this from the “Attach checklist” drop-down menu.
     
  6. Deadline: Set the desired deadline. Tap “Deadline” to bring up the calendar and select a date.
    Note: Do you want repetitive tasks? Instead, use routines for repetitive tasks. This will group your routines into categories.
     
  7. Priority is automatically set to low. Check for higher priority if desired. This does not affect work order notifications etc.
     
  8. Action types: as a new customer in the system, you will have some standard action types available. You can choose one of these, or an action type that you have created yourself . Action types allow you to group tasks so that you can more easily get an overview of how many work orders end up in the “Operation” category, for example, and how many end up in the “Variance” category.
 
 

Building part

If you would like to specify where in a building the work order should be performed, you can do so here. You can select a building section from the drop-down menu, enter a room number, and select a component code.

 
 

Notifications

Under notifications, you can control what kind of notifications will be sent by email to the executor(s) and to you as the issuer.

The following notifications are sent by default if you do not check any of these boxes:

  • Notification to performers that they have been assigned a work order
  • Work order updates: Change of responsible performer, reopening of the task, change of priority or deadline
  • When a checklist is submitted for the assignment
  • When a work order is approved
  • Assignment reminder on the day of the deadline

Management of notifications on work orders/routines

  • Disable notification to executor: If you uncheck this, none of the notifications in the list above will be sent to the executor.
  • Notify performer of updates: This box controls whether the person you have set as the main performer should be notified of updates.
  • Notify issuer of updates: This controls whether you, as the issuer of the assignment, should receive notifications about updates to the assignment.
  • Notify issuer of completion: If you check this box, you will be notified when the executor has marked the task as completed.
  • Send SMS notification to contractor: this provides contractor notifications via SMS. Note that this will incur a cost for the municipality for SMS sending.
 
 

Other

If you have created custom fields , they will be located here. Here you can also choose to assign the task to a subject matter specialist role instead of assigning it directly to a performer.

This tab will not be visible if you have not created any subject matter specialist roles or custom fields.

 
 

 

Finally, click on "Create work order". You will then see the work order, and you can choose to process it immediately if applicable (for example, if you created it for yourself).

  • If you want to attach images or other attachments to the work order, you can do so now that the work order has been created. In the top row of tabs, you will find "Comments/image/attachments". Click here and upload files from your computer.
  • You can also upload a floor plan with the work order. This is only available for building, floor, and room work orders. The floor plan must have been uploaded on a floor beforehand.
  • If you want to copy the work order you have created to multiple buildings, go to the menu (grey box with three lines) in the top right corner and click on "Copy work order". You can then select one or more buildings to copy the work order to. You can also choose whether you want to copy with the task's performers and any subtasks.
