A work order is defined as a single task, and is used for single tasks. Routines, on the other hand, are separated into a separate page in operations and maintenance, so that you can easily separate what you have from repetitive maintenance (tasks with an interval). Work orders and routines are treated the same, and it is also the same type of data that you enter when you create them. The only difference is where you create them and that routines are automatically marked as repetitive.

Should you create fire routines? We recommend that you create them in the Fire Book (separate item in the menu). This will make it much easier to keep track of all routines related to fire, not least in terms of reporting/supervision. Read more: Fire Book in LAFT

Routines can be found in the main menu on the left in the operation and maintenance module:

Routines are grouped into categories. You create these categories yourself, and they are global for all objects of the same type. A category you create on a building is therefore created for all buildings.

  1. Enter the name of the category you want to create and click “Add Category”
  2. Once you have created a category, you can create routines in this category. Click on the three lines to the left of the category. If your municipality subscribes to IK-Bygg, you can also click on “Add routine from IK-Bygg”. You will then be able to select a question from IK-Bygg that you want to create a routine for, and can then supplement it with information as in a regular routine.
    However, we recommend that you instead sample the IK-bygg questions you want to have routines for in a checklist, and then select “Add routine”. Then you can instead attach the checklist to one and the same routine.

3. When you create the routine, you have the same options for filling in as on a work order. You can read more about the different fields you can use here .

Once your routines are created, they can either be processed from this same page, or via the work order overview or the app, in the same way as ongoing work orders. See how to process here .

Copying routines

You can copy routines in two ways:

  • One by one routine :
    • If you want to have the current routine on multiple buildings (or other objects of the same type as the one you created this routine on), you can copy it. Click on the three lines to the right of the routine and then “Copy”

You can then select one or more objects to which you want to copy the routine, and you can choose whether the responsible performer and any subtasks should be included.
NOTE that a routine must have an interval, deadline and responsible performer in order to be copied.

  • Copy all routines on one building to one or more buildings (Note! Only for administrators) :
    • If you have a new building that you want to put routines in place, you can save a lot of time by copying routines from a building that already has these in place. Here's how to proceed:
      Find the building you want to copy routines from in your Building Overview, and click “Edit”:

      Scroll down to the modal “Copy routines”. Here you can select one or more buildings from which you want to copy all routines on the building you are currently editing. You can choose whether you want to copy only routines, only fire routines or everything. You can also choose whether you want to copy responsible executors. If you do not copy executors, you will later have to find the routines on the buildings you have copied to, in order to assign the routines to one or more executors.

The easiest way to find all routines that are missing performers so that you can assign them is via the Inbox in the DV module.

NOTE that a routine must have an interval and deadline to be copied.

Reminder and rules regarding renewals of routines

Reminders

The reminder for a routine varies based on the interval of the routine:

  • < 7 days until due (daily routine): No reminder.
  • 7 to 13 days until due (weekly routine): Reminder THE DAY BEFORE.
  • 14 to 29 days until due (semi-weekly routine): Reminder 2 DAYS BEFORE.
  • Other: Reminder 1 WEEK BEFORE.
  • If predefined calendar (flag days etc.): Reminder 1 DAY BEFORE

Reminder is always sent by email at 07:00.

When is a routine renewed?

When a routine is executed, it will remain green until the deadline set for the routine. It will only be renewed (i.e. given a new deadline and turned white again) at 10:00 PM on the same day the deadline expires.

This means that if you perform an annual routine a week before the deadline, it will remain as performed until the day of the original deadline.
