Notifications - rules and setup

In this article, we go through all notifications in LAFT, where you can manage the different types of notifications, as well as what the rules are for notifications.

Notifications on user

It is possible to turn notifications off/on completely for a user.
This is done by going to Administration > Users > find the user > Edit:

Here you can check whether the user should be able to:

  • Receive notifications on questions from Internal Control (IK-bygg). Here you can refer to any annual calendar you have set up in IK-bygg, i.e. here: 


    In IK-bygg, you receive notifications based on your role. If you have access to the building and have a role that is supposed to answer the question, you will receive a notification. To change which roles are supposed to answer the different questions, you can go to Administration > Internal Control > Question Filters.
     
  • Receive notification of work order updates:
    • If this is selected, you will receive a notification when you are assigned a new work order/routine, and when the deadline is approaching. See separate sections on notifications for work orders/routines, as well as rules for notifications below.
 
 

Setting up notifications on work orders/routines

When a work order/routine is created, there is a separate tab where you can manage notifications. The setup here will only apply to the individual case:

As mentioned above, you will receive notifications when you are assigned a new case, as well as when the deadline is approaching. Beyond this, you can customize here.

To change this setup afterwards, you can process the work order/routine and click on Other information (note that not all roles in LAFT have access to this):

 
 

Rules for notifications when renewing routines

The reminder for a routine varies based on the interval of the routine:

  • < 7 days until due (daily routine): No reminder.
  • 7 to 13 days until due (weekly routine): Reminder THE DAY BEFORE.
  • 14 to 29 days until due (semi-weekly routine): Reminder 2 DAYS BEFORE.
  • Other: Reminder 1 WEEK BEFORE.
  • If predefined calendar (flag days etc.): Reminder 1 DAY BEFORE

Reminder is always sent by email at 07:00.

When is a routine renewed?

When a routine is executed, it will be marked as green/executed until the deadline set for the routine. It will only be renewed (i.e. given a new deadline and given the status “assigned” again) at 10:00 PM on the same day the deadline expires.

This means that if you perform an annual routine a week before the deadline, it will remain as performed until the day of the original deadline.

 
 

Notifications on cases from LAFT Portal (for the User role)

Administrators/managers can change the setup of notifications for cases that come from MittBygg (registration solution). This is done by going to the DV module > Administration > Notifications.

Here you can choose whether the user should receive notifications when a new case is received via MittBygg. The user will then receive a notification if a case is received from a building the person has access to. The case will still be in the Inbox > MittBygg tab, like all unprocessed cases (without a deadline and/or performing).

If you have set up email sign-up, you can also choose whether the user should receive notifications of new emails that have arrived. See instructions: Inbox in operation and maintenance > Email and SMS

To set up automatic assignment of cases from MittBygg, go to the DV module > Administration > Responsible executors.

 
 

Notifications in the rental module

Go to the Rental Module > Settings > Notifications. Here you can manage notifications for the following:

Internal notification:

  • Upon expiration of a lease. You can choose to enable the automatic creation of a work order upon expiration of a lease. The work order will be placed in the Inbox in the DV module, in the Rental tab (Inbox in the DV module).
    If you want a permanent person to be assigned to these cases, and not have them end up in the inbox, you can also choose who will be assigned to handle these cases here. 

    These work orders are processed the same way as others: How to process work orders
    For example, you can attach a checklist to the work order for inspection of the rental property or check-in/check-out.
     
  • Logging of letter template downloads. Here you can choose whether, and if so which, user should receive a notification when downloading letter templates (notification of indexation, etc.).
     

Notices to the tenant:

  • Upon expiration of the lease, and upon expiration of the security/guarantee. Here you can set the number of days or months the tenant should be notified before the lease expires. For this to work, the tenant must enter a phone number, as these notifications are sent by SMS.

    The content of the SMS can be customized by changing the “Custom SMS” field.
