How to change frequency and performance

All room types in LAFT except “F-Room” and “Technical Room” have predefined both frequency and performance. Technical rooms have performance, but not frequency, while F-rooms are rooms that are not to be cleaned, so there is no performance or frequency involved.

When filling out the import template for room lists, you must select from all the room types that already exist in LAFT. You cannot change the frequency or performance during import, but you can change this after the rooms have been imported.

Frequency

You can edit frequency at three different levels:

  1. Room type category
  2. Room type
  3. Individual rooms

The lowest level will override those above. So if you set a frequency for an individual room, it will override the frequency for the room type for that room.

Set frequency on a room type category

  1. Once you are logged in to the cleaning module, click on “Setup” and then “Room type categories” in the main menu on the left. 
  2. Find the room type category you want to edit and click the three lines on the right. Then click “Frequency” 
  3. If you first scroll down the page a little, you can see if a frequency has already been created for the room type category. Note that all room types will already have a frequency, and then it will override what you set for the room type category. If what you set for the room type category is to apply, you must therefore delete the frequency for the room type. 
  4. To create a new frequency, first choose whether it should apply to all rooms in this category, or whether it should apply to this category for specific building groups or buildings. You can also check the box to limit it to specific building types. 
  5. You must then select which cleaning class you are creating a new frequency for, and optionally a deadline (time of day) for when the cleaning should be completed. 
  6. Then set up the actual frequency of the cleaning. Choose which days, either with the predefined suggestions, or by using “Custom Schedule”. Then choose a start date for when you want this frequency to take effect, and whether you want to exclude cleaning on weekends/holidays and expedite in case of conflict. Click “Save” when you are finished and the frequency is created. 

Change the frequency of a room type

To change the frequency of a room type, go to the main menu, go to “Setup” and then “Room Types”. Then follow the same procedure as for the room type category described above.

 

Change frequency in single room

  1. In the main menu, go to “Setup” and then “Cleaning Frequencies.” Here you can both view existing frequencies and create new ones.
    You must first select the building you want to view rooms in and then which cleaning class you want to change the frequency for. 
  2. You can then uncheck one or more rooms. Under “Frequency” there will already be a frequency as all room types have a predefined frequency. What you set here for single rooms will override this. Scroll down the page. Under Deadline, choose whether there should be a time of day when this cleaning should be carried out. Then choose what the actual frequency should be under “Schedule”, what date it should take effect and whether there are any days that should be excluded. Finally, click “Save”. 

 

Rolling frequencies

Many people have their rooms cleaned on Monday, Wednesday and Friday in week 1, and on Tuesday and Thursday in week 2.

To achieve this, you need to set up two different schedules, with start dates on consecutive Mondays. This will give you the rollover you are looking for. Search for the room or room type you want to change, and check these:

Then add one schedule first. Click Add Schedule, select "Custom Schedule," and do the following:

Click OK. It will look like this:

Click on "Add new schedule" again, and do the same as above, only choose other days (Tuesday and Thursday), and set the start date to the following week:

When you finally Save then, the frequency will be updated:

As long as the room is already assigned to cleaner(s), you don't need to change any of the assignments. They will continue to follow the new frequencies.

 
 

Performance

There are 3 different levels where performance can be set in a room:

  1. Experience profile
  2. Room type category
  3. Room type

Experience profiles cannot be edited as they are included as part of the standard setup in LAFT, but you can change performance on both room type category and room type.

 

Set performance on a room type category

  1. Once you are logged in to the cleaning module, click on “Setup” and then “Room type categories” in the main menu on the left. 
  2. Find the room type category you want to edit and click the three lines on the right. Then click “Performance”. 
  3. First choose whether the performance should apply to this room type category on all buildings, a specific building type or a specific building. Then set what the performance should be. This is how many square meters are cleaned per hour. Then click “Save”. Note that the frequency of the room type will override the room type category. If there is a performance on the room type, you will have to delete it for the performance on the room type category to apply. 

Change performance on a room type

To change the performance of a room type, go to the main menu, go to “Setup” and then “Room Types”. Then follow the same procedure as for the room type category described above.
