Basis for the calculation Once you have completed a calculation

Calculating the costs of cleaning is a natural part of the cleaning plan. A standard is included with the system, but local inspections in the form of own assessments of the areas, as well as the use of judgment and experience, are still necessary to make a good estimate of cleaning time and calculation of the total costs.


Basis for the calculation

We base the calculations on standard figures/experience figures (Best Cleaning Practice and NSINSTA800) when it comes to performance in different rooms, i.e. how long it takes to clean e.g. a classroom or a toilet. The calculation is based on the area multiplied by the performance in the room. The sum of this appears in the calculation for all rooms in the building.

The following 4 factors form the basis for the calculation:

  1. Wages
  2. Frequency
  3. Quality
  4. Performance

There are a number of things you can look at if you want to ensure that the calculation is as accurate as possible:

Salary and position fraction

Managed in the cleaning module menu > Settings > Cleaners.

The hourly wage is based on the annual salary for cleaning personnel with a trade certificate (tariff wage, 16 years of seniority). It does not take into account operating costs, social costs, sick leave and the use of temporary workers. Here you can also enter the cleaners' position fraction.

Frequency

If the rooms have been imported with the room types associated with the experience profiles from the metropolitan group (A-room, B-room, etc.), they will automatically receive the standard frequencies that the metropolitan group has set up. Note that the standard frequencies are only defined for the cleaning class Daily, so you must set frequencies for any other cleaning classes yourself. Also, only the frequency associated with the cleaning class "Daily" is used as the basis for calculation.

NOTE! It is important to remember that the calculation takes into account periodic cleaning four times a year. If you do not perform periodic cleaning, but charge a main rent instead (and not in addition to periodic), then the two classes may be able to offset each other.

In the calculation, a room will use the frequency that is 'closest' to itself. A room therefore finds its frequency via the frequency prioritization as shown below:

Frequency prioritization:

  • Room > Room type > Room type category > Standard frequencies from the metropolitan group
  • Building > Building type > All > Standard frequencies from the metropolitan group

Custom frequencies can be set in several places, and are done by going to Setup in the menu > select Room Type or Room Type Category (depending on where you want to change the frequency). Then click on the hamburger menu for the Room Type/Category you want to change the frequency for:

Room type categories: frequencies defined on a room type category will apply to all rooms of the selected room type category.
Room types: frequencies defined on a room type will apply to all rooms of the selected room type, and have priority over frequencies set on the room type category.
Frequency on individual rooms (done via Cleaning frequencies under Setup in the menu): frequencies defined on a room will apply only to the selected room, and have priority over frequencies set on room types and room type categories.

Quality (quality profiles)

The calculation is also affected by the quality profile of the room/room type according to INSTA800. This can be found by clicking Setup in the menu > Quality Profiles. Existing profiles associated with room types or room type categories are displayed here. It also shows which profiles are used for which cleaning classes. By default, the system displays the experience profiles from the metropolitan group. The purpose is that if the quality profile is reduced or increased in a room, this will have consequences for the calculation. Note that you can only edit quality profiles that you have created yourself.

Performance

Cleaning productivity is measured in performance, which is expressed in the average number of square meters of area cleaned per hour. Performance varies depending on the design and use of the premises. In newer office premises with modern cleaning, performance can be up to 450 square meters per hour. Schools and kindergartens usually have lower performance, about 240–300 square meters per hour.

The room will first find the 'base number' (square meters per hour). The room will then modify this number based on its usage intensity, furnishing level and surface wear (this is set up in the Building Layout/Room List of the building). The result of the modification is used to calculate the estimated time for cleaning, which is displayed in the cleaning plans, the app and the calculation basis.

A cleaning performance can be set for individual rooms, room types and room type categories, and is done in the same way as when adjusting frequencies: Setup in the menu > select Room Type or Room Type Category (depending on where you want to change the performance). Then click on the hamburger menu for the Room Type/Category you want to change the frequency for.

You will see that the benefit can be limited to a specific building or all buildings of a building type. One example:

  • One performance for all toilets in all buildings
  • A performance for toilets in the building type 'Kindergartens'
  • A performance for toilets in the building “Cleaning Kindergarten” (which is of the building type Kindergarten)

Here, toilets can have their cleaning performance depending on which building they are in.
Just like frequencies, the room will use the performance that is 'closest' to itself. The system therefore first looks at whether a separate performance has been set for Building > then Building type > All in the area > and finally, if you have not defined your own performances, standard performances from the metropolitan group. Performances defined for room types will also be chosen over performances defined for room type categories.

Other things that affect performance:

Furnishing level, user load and wear. These are factors that you can adjust for under Setup > Building Setup > Room List for the building. For each room, each factor can be set to 1 (low), 2 (medium) and 3 (high). All rooms are set to 2 (medium) as a starting point, but if you change a factor to e.g. 3 (wear is high due to old flooring or rough surfaces) for a room, the time calculation will increase and the calculation will change. These factors will result in a “room score” in the calculation – the higher the number, the longer the cleaning will take.

It may be a good idea to review the following to ensure that the calculation is as accurate as possible for your area:

Additional time and running time:

If cleaners spend time during the day on things other than cleaning, you can enter this here.

Walking time refers to the number of seconds it takes the cleaner to move between rooms. Our recommendation is to include this as part of the additional time.
Additional time refers to the number of minutes the cleaner spends on other tasks/chores during the day. This can be, for example, refilling toilet paper, watering plants, driving between different buildings, etc.
Note that you can set times for new buildings on the first page. If you want to enter running and additional times for existing buildings, you must select the “Cleaning settings per building” tab.
Default minimum time:
If you don't set this here, small rooms will say that cleaning takes less than one minute. For example, in toilets it is impossible to clean in less than one minute, even if the room is small, so our recommendation is to set a minimum of 3 minutes here.

Modifiers:

The modifiers change the calculated performance per cleaning class.

For example:

Periodic cleaning: the performance figures in LAFT already include periodic cleaning 4 times a year. If you still set up periodic cleaning in the system, our recommendation is to set the modifier on the Periodic cleaning class to 0.01. This will increase the performance of the cleaning class to max.

Supervisory cleaning: this type of cleaning does not take that long to carry out, as it is usually just checking that everything looks OK, possibly emptying the trash, etc. This allows you to adjust the performance of the room upwards in relation to the daily cleaning class, as the daily cleaning takes longer to carry out. Setting 0.35 will mean that supervisory cleaning is carried out 1/3 of the time in relation to the daily cleaning class.

Perform a calculation

In the cleaning module, go to Calculation in the menu on the left. Here you will first come to a summary for all buildings you currently have cleaning plans for. The rule here is that there must be rooms (room list) entered in the building for it to count in the calculation. Here you also have a Filter button, where you can narrow the search to include, for example, only individual buildings or building types:

If you click on the Details tab at the top, you will see more information about all the rooms according to the filter you have selected.
Here you can filter further by clicking the Filter for details button, to make the table show the information you want, e.g. only the cleaning classes Daily and Periodic:

Once you have completed a calculation

LAFT bases the calculations on standard figures/experience figures when it comes to performance in different rooms, i.e. how long it takes to clean e.g. a classroom or a toilet. The calculation is based on the area multiplied by the performance in the room. The sum of this appears in the calculation for all rooms in the building. The details for the calculation can be found under “Details” when you have run a calculation on a building.

The calculation is only a suggestion based on standard figures and experience, not a definitive answer. It also only takes into account effective cleaning; from the time you start cleaning until it is completed. This does not take into account whether you prepare for cleaning, care for plants, refill toilet supplies or clean up at the end of the day, etc. If you want to make arrangements for this, you may need to enter running time and additional time, as described in the section “Other things that affect the calculation”.
