Fill out the import template for the rental module (municipality)

In this guide, we will go through the most common questions/challenges that arise when filling out the import file for the rental module.

It is possible to create both rental properties, tenants and tenancies manually in LAFT, but the easiest and most common way to register rental properties, tenants and tenancies is via an Excel import. In the template, you fill in the information in one place, and then send the file to support@laft.io.

When importing data, it is important that you use the latest version of our import template. Contact support@laft.io to have it sent to you, or find it on this page: Import templates .

When the rental template is to be imported by us into LAFT, it is important that all the information filled in the template is correct, and that it is filled in according to the template's requirements and explanations.

Only the columns for the name of the rental object are mandatory to fill in (and the building ID if you want to link the rental object to an existing building in LAFT).

There are two different ways to do this, based on whether you already have buildings in LAFT that you want to link rental properties to (alternative 2 below), or whether you want to create new buildings in addition to rental properties (alternative 1 below).

A rental object must be linked to a building in any case. You can link multiple rental objects to one building, or have one rental object per building. If you subscribe to IK-Bygg (Internal Control) and want to perform condition analysis on rental objects, a building must correspond to a rental object (alternative 1), as it is only a concept for buildings in IK-Bygg. We are working on creating a solution that allows you to use IK-bygg questions on all object types in LAFT, and the goal is for this to be completed by the third quarter of 2025.


Option 1: Create each rental property as a separate building

This is ideal if your property department wants to carry out internal inspections/condition assessments on each rental property (apartment, etc.). If you wish to do this, leave column A in the template blank. Then, upon import, a completely new building will be created in LAFT for this rental property.

NB! As mentioned above, we are working on a solution that allows you to conduct condition assessments with IK-bygg questions on all object types. The work is scheduled to be completed in the third quarter of 2025.

The yellow and green columns are information that is stored on the rental properties and tenants in the rental module, respectively, while the red columns deal with the rental relationship.

Option 2: Have multiple rental properties associated with one building

NB! As mentioned above, we are working on a solution that allows you to conduct condition assessments with IK-bygg questions on all object types. The work is scheduled to be completed in the first third of 2025.

With this option, you will only be able to perform an internal inspection/condition assessment on the building as a whole (the main building). If the building to which the rental objects belong already exists in LAFT, enter the ID number of the building in column A on all rental objects that are to be associated with this building. The ID number can be found in the building overview under Settings > Buildings > Overview. If the building is not entered in LAFT, do this first, and then enter the ID number in the template.

Example: The building Eksemplengata 123 already exists in LAFT, and has ID 43932
By following this example, all rental properties will be associated with Example Street 123.

It is also important to note that the text you write in the "Name of rental property" column is what will be visible to the property manager in all overviews in the system, so it is important that this contains the address + apartment number, or something else that makes it easy for you to recognize the rental property.


Once a decision has been made on whether to choose option 1 or 2, you can proceed with filling out the template.

In some of the yellow columns that deal with the rental property, there are drop-down menus where you must choose from the options in it. The drop-down menus appear by clicking on the arrows in the cell, and explanations of the options are in sheet 2 of the template, “Data”.

In the “Tenant” column, it is also important to note how to write the tenant’s name. By hovering the mouse over the field, an explanation will appear.

In order for the tenant's name to appear correctly in the rental module, it must be separated by a comma and written like this: "Last name, First name". If there are multiple people living in the same rental property, it can be separated by a colon like this: "Normann, Ola:Nordmann, Kari".

The column for personal identification number should also be filled in, and is required if you are going to have integration with an invoice system (e.g. Visma). D-numbers are also accepted here. If there are several people living in the same rental property, and both must have personal identification numbers, they can be separated with a colon like this: "1234512345:9876598765".

If you want to include other information about the tenant that is missing in the template, such as the tenant's email, it is possible to add your own columns.

Columns for the period of the tenancy must also be filled in. "Tenancy period from" indicates the move-in/takeover date, and if the tenancy is ongoing (without an end date), the column for "Tenancy period to" can be left blank.

Columns for the last adjustment date must also be filled in. If you are unsure when the rental property was last adjusted, you should set the start date of the tenancy. Alternatively, you can set today's date. This will ensure that adjustments going forward will be correct.
