Invoicing rent in LAFT

LAFT Utleie is not an accounting system in itself, but allows you to download or transfer invoice data for your rental relationships to the accounting system you use. This guide goes through how to create and download invoice data in various formats for transfer to the accounting system.

Creation of invoice basis

NOTE! If an invoice basis is created for a tenancy, and there has been a change in the rent during the invoicing period (e.g. due to regulation), it will be created as two separate invoice bases in LAFT. These two can later be consolidated in the financial system, so that the customer/recipient only receives one invoice with several lines.

Automatic creation (monthly)

In LAFT Utleie, the default is monthly invoicing. If you have a rental that you do not want to be invoiced at a monthly interval, you can decide this within the rental object by editing it.

Go to "Settings" in the main menu on the left, and then "billing" in the top tab row.

Here you can set up which day of the month new invoice bases should be automatically created. You also choose whether you should invoice for the current month or the next month by default. Once you have set this up, invoice bases will be automatically created each month on the day you have chosen. Here you can also enter an email address that will automatically receive invoice bases when they are downloaded.

Manual creation

If you do not want invoice bases to be created automatically, or you want to invoice outside of this, you can create invoice bases manually. You can either create bases in bulk, or invoice tenancies individually.

To bulk create :

Go to "Rent" and "Create invoice basis" in the main menu on the left. Here you must select the period you want to create an invoice basis for at the top of the filter. You also have several filtering options.
NOTE! If you do not filter on anything other than period, an invoice basis will be created for all billable (active) tenancies for the selected period.

  • Period : Creates invoice basis for all billable leases for the selected period
  • Rental properties : Here you can select one, several or all rental properties. An invoice basis will be created for all selected rental properties that have an invoiceable tenancy within the selected period.
  • Private individuals : Here you can select one, several or all private individuals. An invoice basis will be created for all selected private individuals who have an invoiceable tenancy within the selected period.
  • Organizations : Here you can select one, several or all organizations. An invoice basis will be created for all selected organizations that have a billable lease within the selected period.
  • Billing interval : Here you can create an invoice basis for rental properties based on the billing interval they are set up to have. The interval can be changed within the rental property itself by editing it, or via the quick edit page.
  • Rental object type : Here you can create invoice bases for rental objects based on their type. You can select one or more
  • Private or business : Here you can create an invoice basis for only private individuals or only businesses.
    NOTE! To use this filter, you must have specified whether the rental property is used for private rental or commercial rental. You do this by editing the rental property , either individually or via the quick edit page.

To create an invoice basis for a single rental relationship:

Via the mass creation page: You simply select the period in the filter, and check the box for the individual tenant in the filter “Private person” or “Organization”.

Via the individual tenancy: Click on the rental property that the tenancy is on, and go to the Active and future tenancies tab. This tab displays all tenancies that have not yet expired, including planned/future ones. This is because in some cases it is necessary to be able to create an invoice basis for tenancies that have not yet started, e.g. in the case of advance invoicing.

Click on the gear and select Create invoice basis. This will bring up a calendar where you can select which days you want to create an invoice basis for.

Regardless of how an invoice basis is created, it will be saved and can be processed under Rent > Invoicing.

How to invoice

All created invoice bases can be found in the main menu on the left under "Rent"->"Invoicing":

If you would like to see more information about what the invoice basis for the individual tenancy contains, you can click on the ID number.
This shows the period for which the rental agreement is actually invoiced. If the rental agreement has any additional charges, these will also be shown here:

To download an invoice, uncheck the invoice bases you want to send out, scroll to the bottom of the page. Here you have several options based on what kind of integration you have with your financial system. If you have not set up any integrations between your financial system and LAFT, use the "Download" button. This will bring up a drop-down menu where you can select which file format you want. Flatil for Visma or Agresso is a format that can be uploaded directly into the respective financial systems so that you can invoice from there.

Billing at intervals other than monthly

If you have chosen to invoice for the current or next month as the default under settings, this does not affect the invoicing of other intervals. For all intervals other than monthly, an invoice basis will be created (for invoice basis that is created automatically) for the first month of the tenancy, and x number of months in the future, depending on the selected invoicing interval. This means that for a tenancy that is to be invoiced semi-annually, where the tenancy start date is March 15, when an invoice basis is automatically created, a basis will be created for the whole of March, and 5 months in the future. Then no invoice basis will be automatically generated for this tenancy again until after 6 months.

When you manually create a mass invoice basis, you choose whether you want to include leases with intervals other than monthly. Then all these leases will be included, and the total is calculated based on the period you have chosen to invoice for. You can therefore invoice 3 months for a rental property that is actually invoiced semi-annually if you wish. The system then calculates what the price will be for 3 months based on the rent you have entered. If the price of a rental property is 100,000 and is invoiced semi-annually, the rent will be calculated as 50,000 if you invoice manually for 3 months.

Crediting

If you want to credit an invoice basis, do this from the individual tenancy. Go to "Tenancy" in the main menu on the left and find the tenancy for which you want to create a credit note. Click on the three lines on the right and "Create credit note basis":

You will then see a list of previously created invoice bases. Select the one you want to credit by pressing “Select”.

You then choose the start date and end date of the credit, in case you do not want to credit an entire month.

Once the credit has been created, you will find it under “Invoicing” in the “Credit” tab. Check and download the file in the same way as the invoice basis, and then upload it to the financial system.
